[edit]- The Executive Committee unanimously moved to approve and pay the bill for March from Jean-Philippe Béland for a total of $5,150.88.
- The Executive Committee unanimously moved to approve and pay the bill for May from Jean-Philippe Béland for a total of $9,335.97.
Old Business
[edit]- Atypic. The contract with Atypic was signed by Jean-Philippe Béland. He received the bill for the first payment for a total amount of $7,243.43. There was an initial meeting with Atypic, and there will be another meeting in the coming weeks to define the next steps. Atypic will submit a new calendar for the deliverables. It was decided with Atypic that it would be better to have a central committee with always the same three or four persons in charge to follow the contract. The Executive Committee decided that this committee will be formed by Lëa-Kim Châteauneuf, Benoit Rochon, Ha-Loan Phan and Jean-Philippe Béland.
- WikiConference North America. It was decided that the WikiConference North America 2020 planned in Toronto will be moved to 2021.
- Vacant Secretary position. The Secretary position is still vacant. The Executive Committee discussed the idea to recruit a new Board member in order to become the new Secretary.
- Welcome messages to new members and donors. Jean-Philippe Béland prepared templates of messages to send to new members, for membership renewals, and to donors. He is inviting the Board members to review them and submit their comments.
- ECC Project. The documents to amend the agreement for the budget for fiscal year 2019-2020 were sent to ECCC. We are not allowed to move unused amounts from 2019-2020 to 2020-2021. The annual report for fiscal year 2019-2020 was also sent to ECCC as well as the progress report for January to March 2020.
- OTRS. Jean-Philippe Béland is continuing to monitor the OTRS daily. He created accounts for Benoit Rochon, Ha-Loan Phan and Michael David Miller.
- Communications Policy. Jean-Philippe Béland prepared a draft for a new Communications Policy. He is inviting Board members to review it and submit their comments. It will be presented to the Board at the next Board meeting.
New Business
[edit]- Adding donors information to CiviCRM. Currenly only the members are added to CiviCRM. Jean-Philippe Béland will also add the donors.
- New monthly newsletter. Jean-Philippe Béland developed a new monthly newsletter for Wikimedia Canada that is replacing the monthly emails that he was sending to the mailing lists.
- Indigenous projects. The project grant request that the Wikimedians of North American Indigenous Languages User Group made to the Wikimedia Foundation for the Atikamekw Project was rejected because it included in-person events and travelling, and those are forbidden because of COVID-19. Jean-Philippe Béland will contact the Manawan WikiClub to see how Wikimedia Canada can support the Atikamekw Project, especially since there is still an amount in Wikimedia Canada's 2020 APG for Indigenous projects that needs to be uses without doing any in-person activities nor travelling.
- WikiFranca. There was a meeting for WikiFranca hosted by Adélaïde from Wikimedia France to which Benoit Rochon and Jean-Philippe Béland participated. For now the plan is to create an official association in Switzerland where a bank account could be open for WikiFranca with an operational center in Ivory Coast. The steps for WikiFranca to be recognized as an user group by the Wikimedia Foundation are in progress. It was decided that the members of WikiFranca will be organizations or groups, and not individuals. It was proposed that each current member of WikiFranca designate one person to be a "founding member" of WikiFranca. It is mainly a honorific title. The Executive Committee decided that Benoit Rochon will be the "founding member" designated by Wikimedia Canada.
- Wikimedia Strategy 2030. The recommendations for the Wikimedia Strategy 2030 were published on Meta-Wiki. Jean-Philippe Béland sent an email to all Board members about this. He is currenly analyzing the recommendations in order to identify to potential impacts for Wikimedia Canada.
- IT of Wikimedia Canada. Jean-Philippe Béland started to do an audit of the IT of Wikimedia Canada. He will prepare an IT Policy for Wikimedia Canada as well as user guides for the OTRS and CiviCRM.
- Tracking of the tasks of the contractuals. Jean-Philippe Béland prepared a shared spreadsheet to track the progress of the files of Wikimedia Canada as well as the tasks of the contractuals. He is inviting all Board members to send him their feedback.
- Activities to do during COVID-19. At the last Programs Committee meeting, it was decided that Sarah Severson, with the help of Jean-Philippe Béland, will prepare a call for projects that will be send to Wikimedia Canada's members and the mailing lists to identify activities that can be done during COVID-19. Among other things, the Programs Committee proposed that Wikimedia Canada could use part of the budget to develop video tutorials and written guides adapted to the Canadian context on how to contribute to Wikimedia projects. The Programs Committee also proposed that the budget line "Active role within Wikimedia movement" of the APG 2020 be re-allocated since it will not be used. Jean-Philippe Béland also mentioned that the budget allocated for the in-person Board meeting will also need to be re-allocated since this meeting will not happen.
- New mailing lists. Jean-Philippe Béland created internal mailing lists for the Board, the Communications Committee, and the Programs Committee.
- Wikimedia Branding Project. The Wikimedia Foundation is currently doing a "2030 Movement Brand Project" in parallel of the Wikimedia Strategy 2030. The goal is to create an unique "brand" for the movement. Amber Berson is the liaison for Wikimedia Canada for the team of the Brand Project.
- Reports to the Wikimedia Foundation. Wikimedia Canada received an email from the Wikimedia Foundation saying that Wikimedia Canada is not compliant because it didn't submit its 2019 financial statements. Jean-Philippe Béland informed the Wikimedia Foundation that the financial statements will only be approved by the members at the next Annual General Meeting in the Fall, and the Wikimedia Foundation accepted and changed the status of Wikimedia Canada to "compliant" until then. The Treasurer informed Jean-Philippe Béland that the 2019 financial statements are almost ready and will be finished in the coming weeks.
- Universal Code of Conduct of the Wikimedia Foundation. Last 22 May, the Board of Trustees of the Wikimedia Foundation published an official declaration titled "Statement on Healthy Community Culture, Inclusivity, and Safe Spaces" saying clearly that harassment, toxic behaviours and incivility in the Wikimedia Movement are contrary to our common values and detrimental to our vision and mission. Specifically the Board of Trustees gave the mandate to the Wikimedia Foundation to develop and introduce a Universal Code of Conduct that will be a binding set of minimum standards across all Wikimedia projects.
- Link to become a member of Wikimedia Canada. The link to become a member of Wikimedia Canada was displaying an error message on PayPal. Benoit Rochon fixed it, and it is now working correctly.
Roundtable
[edit]- Jean-Michel Lapointe reported that there is very little participation to the last meetings of the Programs Committee even though it was well attended before COVID-19. He proposed a few ideas to the Executive Committee on how to revive the Programs Committee.
- Jean-Michel Lapointe reported that Wikimedia Canada is currently participating to the campaign #WPWPCA.
- Jean-Philippe Béland proposed that Wikimedia Canada uses its social networks to propose ideas of Wikipedia articles to contribute to during the Indigenous History Month.
